PROCEDURES FOR FILING EX PARTE BY MAIL

The ex parte presentation of documents to Superior Court for approval, signature and subsequent filing is a convenience provided to members of the BAR and the public by the Clerk of the Superior Court in accordance with the provisions of RCW 36.18.016(12).   In order to facilitate expeditious processing of documents submitted, it is necessary that parties comply with the specific procedures and requirements as noted below.

All ex-parte documents must be addressed to:

Pacific County Clerk - Ex Parte
300 Memorial Drive
PO Box 67
South Bend, WA 98586-0067

  • All documents submitted must be accompanied by a letter of instruction which clearly states the purpose of the documents and all services requested.

  • Provide original documents to submit for signature and filing. Our office does not accept proposed orders for filing; you may provide them as a bench copy.

  • If conformed copies are being requested, provide those copies as well as a self-addressed, stamped envelope large enough to accommodate return copies with sufficient postage.

  • Provide payment in the amount of $30.00 for each presentation by check, money order, cashiers check, credit/debit card, or cash.

If requesting certified copies, additional payment is required; $5.00 for the first page and $1.00 for each additional page thereafter, per document.

Payments can be combined onto one check.

Please note: Payment only ensures that the order will be presented to the Court for signature.
If the submission is not successful, resubmitted pleadings will require a
new ex parte fee.

Additional forms required when filing a NEW case and presenting orders ex parte:

Dissolution of Marriage Case (in addition to Petition and other related pleadings)

i.    Case Cover Sheet
ii.   Confidential Information Sheet
iii.  Certificate of Dissolution Form (Vital Statistics Health Sheet)

Civil Case (in addition to Summons, Complaint and any related motions)

i.  Case Cover Sheet

If submitted ex parte mail does not comply with ALL of the above requirements, it will be returned unprocessed.

PREPARATION OF TRIAL EXHIBITS

The "original" set of trial exhibits should be dropped off to the Clerk's Office, or physically mailed, to be received no later than 72 hours prior to the trial, excluding weekends and holidays. Please use the following address:

 Pacific County Clerk’s Office
Attn: Emma Rose
300 Memorial Drive
PO Box 67
South Bend, WA 98586-0067

If possible, please e-mail an electronic exhibit list to clerk@co.pacific.wa.us. A fillable form can be found here, for your convenience. This aids us in preparing the exhibits and the official exhibit list prior to trial. If bench copies are included in the set delivered to the Clerk’s Office, we will ensure that they are delivered to Superior Court. Contact the Clerk’s office by e-mail with any questions at clerk@co.pacific.wa.us.

Please separate exhibits using full-page dividers or colored sheets in-between. Do not use sticky tabs on the edges of the pages.

Please contact the Clerk’s office directly about exhibit identification sequencing.
